Instructions for Speakers and Poster Presentations

Speaker Instructions

Complete instructions for speakers will be provided before the Symposium. Below are preliminary instructions that will be further developed over the next few weeks.

  • Talk Durations
    Invited presentation slots are 25 minutes long plus 5 minutes for questions and speaker change. Contributed slots are 12 minutes plus 3 minutes for questions and speaker change. Please constrain your presentation to the allowed length, out of respect for other presenters and attendees so that questions can be addressed.

  • Presentation Equipment
    Each plenary room will be equipped with a Windows PC and a Macintosh computer and should accommodate Powerpoint, Keynote, and PDF formats. Google Slides should not be used to present during the Symposium; instead, create a PDF of your presentation. Personal computers cannot be used for presentations.

  • Presentation delivery
    In the final instruction email, speakers will be provided with a link to a Google Drive folder for their session. Presentations should be provided 24 hours before the talk to allow for testing by Symposium staff. Please notify staff if additional testing time may be required (for animations, videos, other media), and inform them if computer sound will be needed for the presentation.

  • Remote presentations
    Remote presenters will be given Zoom webinar presenter access during their session, and will be able to display and control their presentation from their own laptop. Please notify the organizers if you want to schedule a practice session beforehand. Practice sessions cannot be scheduled last-minute. Contact information for the webinar coordinator will be provided in the final instruction email to each presenter.

  • Questions & Answers
    Microphone runners will be available during the plenary sessions for questions. Parallel sessions will use a stationary microphone stand. Session chairs will be expected to control the flow of questions. A webinar monitor in each room will indicate if an online question has been asked, and will read out the question once the chair has recognized them.
